Who we are and what we do
We are a recruitment agency. We collect personal data from the following types of people to allow us to undertake our business:
Types of Data We Collect
We strive to provide the best possible employment opportunities that are appropriate and exciting for our candidates and in order to do this, we need to process certain information. We ask for details that will help us to help candidates find a new and appropriate role, such as name, contact details, education details, employment history, remuneration package and immigration status (and other relevant information).
Where appropriate, and in accordance with local laws and requirements, we may also collect information security clearance status or details of any criminal convictions.
If you are a Orilion client, we need to collect and use information about you, or individuals at your organisation, in the course of providing you with our recruitment services. This can include finding candidates to fill your roles or notifying you of content published by Orilion which may be relevant to you.
Orilion may also store basic information relating to previous dealings with us. This may include: job applications via ourselves, email and telephone communications, job interviews and placements, (only those attended via our organisation).
Our website does not use cookies nor are you able to apply for jobs directly via the website and nor do we collect personal data. The only exception to this is if you click “Contact us” and submit your personal details, requesting us to be in touch.
Where we obtain your information
We may obtain candidate information from any number of locations:
When we obtain your information from external sources such as LinkedIn and CVs on job boards we will contact you directly and will store any information thereafter without expressly obtaining your permission, following a positive interaction, and your interest in being submitted for a role/roles in the future.
There is only one way we collect client data – we do not make unsolicited calls:
Data Retention
We will delete candidate personal data from our systems in accordance with the undernoted “flagging” methodology on our system:
- Unranked – 4 years
- Unsuitable – 4 years
- Maybe suitable – do not remove
- Suitable – do not remove
- Favourite – do not remove.
Under new data protection regulations (GDPR), we are required to keep the data we hold accurate and secure.
As we do not have a database, once your data is deleted from our PCs and servers we will no longer have any access to it, as our job board advertising company deletes all information every year.
Legal Basis for Processing
Our legal basis for the processing of personal data is our legitimate business interests, described in this privacy statement.
We will rely on contract if we are negotiating or have entered into a placement agreement with you or your organisation or any other contract to provide services to you or receive services from you or your organisation.
In some circumstances we rely on consent for particular uses of your data and you will be asked for your express consent, if legally required. Examples of when consent may be the lawful basis for processing, include: asking you for permission to introduce you to a client, (if you are a candidate).
Legitimate Interests
Here at Orilion, we take your privacy seriously and will only use your personal information to enable us to provide you with our professional recruitment services.
Employers may potentially ask you (or us, as their professional recruitment services) to share information, such as: salary, references, qualifications, reasons for leaving previous roles/if your tenure was terminated, or whether you have a criminal record – this will be done in accordance with the law and is very reasonable to protect all parties, in our opinion.
Accordingly, we wish to give you a bespoke and very personal recruitment service and thus may ask questions enabling us to tailor your skillset, requirements and dovetail those with our current and future vacancies.
We may also need to use your data for our administrative activities, i.e. contractor payment and invoicing, where relevant.
Data Storage and Processing
We only hold data on our server and PC’s which is backed up by our DR Providers. However, we do not retain data in the way that many other organisations do, and do not utilise it for any marketing purposes, or give it to 3rd parties.
Who do we share your data with?
As required under GDPR, we will only share your information to prospective employers with your express consent.
Data Subject Access Requests
You may ask us to confirm what information we hold about you at any time, and request us to delete or such information. Any request we will endeavour to fulfil within 30 days. To make such a request, please email info@orilion.co.uk
